Why it matters

Benefits carry tax consequences that fall on the employer, and eligibility rules that vary by employment type. Getting them wrong produces an FBT liability nobody budgeted for.

  • FBT is the employer's: Not the employee's, and it is assessed on a different year to income tax.
  • Eligibility varies: Full-time, part-time, casual and fixed-term employees are frequently treated differently.
  • Packaging affects pay: Salary sacrifice changes gross, which changes tax, super treatment and leave calculations.

The workflow

  1. 01

    Plan design

What is offered, to whom, and on what terms.

  2. 02

    Eligibility

Employees matched to the benefits their employment type and tenure allow.

  3. 03

    Enrolment

Elections captured, with effective dates and any waiting periods.

  4. 04

    Payroll integration

Deductions and packaging applied to the pay run correctly.

  5. 05

    FBT tracking

Reportable benefits accumulated through the FBT year.

  6. 06

    Reporting

FBT return prepared, and reportable fringe benefits amounts reported on income statements.

Salary sacrifice into superannuation is treated differently from packaging a car. Both reduce take-home pay; only one creates an FBT exposure. Configure them separately and label them clearly.

What you need in place

  • Eligibility rules as data: Not as a policy document someone interprets.
  • Effective-dated elections: So mid-year changes calculate correctly.
  • FBT categorisation: Each benefit type mapped to its treatment.
  • Reportable benefits tracking: Feeding income statements at year end.
  • A provider integration: Where packaging is outsourced, a reconciliation between their records and payroll.

Questions to ask

01FBT exposure

Which benefits create FBT, and is anyone tracking the running total?

Discovering it at year end is the expensive way.

02Eligibility

Are rules enforced by the system or by whoever processes the form?

Inconsistency here becomes a discrimination question.

03Packaging

Does salary sacrifice calculate correctly against super and leave?

Sacrifice interacts with OTE, and errors compound.

04Provider

If packaging is outsourced, how do their records reconcile to ours?

Two sets of numbers, one payroll.

05Termination

What happens to a novated lease or packaged benefit when someone leaves?

Decide before, not during.

Metrics and KPIs to track

Benefit uptake

Enrolment by benefit and employment type.

FBT liability

Accumulated through the year, against budget.

Payroll deduction errors

Corrections to benefit deductions per period.

Provider reconciliation variance

Differences between provider and payroll records.
